How much does a CRM cost for a small business?

In short

An off-the-shelf CRM usually costs 10 to 100 dollars or euros per user per month, and several have a free plan. For a small team, that’s often the right choice. A custom CRM costs CHF 7,300 to 20,300, once, with no per-user fees. It makes sense for a large team or an unusual line of work.

What a CRM costs per month for your team

The price per user doesn’t tell the whole story. Here’s what a team of 5, 10 or 20 people pays each month, on a common plan from each CRM.

Free CRM: what you get

  • HubSpot: free for up to 2 users and 1,000 contacts, with no time limit.
  • Zoho CRM: a free edition for 3 users.
  • Odoo: one free app, the CRM for example, for an unlimited number of users.
  • Salesforce: a free suite appears in its plan comparison.

Pipedrive and bexio don’t have a free plan, but they do have a trial: 14 days with Pipedrive, 30 days with bexio. A free CRM is enough to get into the habit of keeping everything in one place. You switch once the limits on contacts or users start to pinch.

Which CRM to choose for a small business

  • You’re just starting out, with one, two or three people: a free plan, HubSpot or Zoho, to build the habit.
  • You want your invoices and your accounting in the same place: bexio, or Odoo if you also manage inventory.
  • A small sales team that tracks its deals: Pipedrive, built around the pipeline.
  • Marketing and sales together: HubSpot, which covers both.
  • A large team with complex processes: Salesforce.
  • None of them fits the way you sell: a custom CRM.

Swiss CRM: where your data lives

bexio is business software made for Swiss small businesses: contacts, invoices and accounting. Its data is stored in Switzerland, and its plans are paid per company, from CHF 35 a month for one person to CHF 119 for 25 people, before VAT, according to its pricing page.

If your data has to stay in Switzerland, ask each vendor before you sign, and get the answer in writing. A custom CRM is hosted wherever you decide, on an account in your name.

Buy a CRM or have one built

A subscription costs little at first and grows with the team. A custom CRM costs more up front, then no per-user fees, and ongoing development only if you want it, at CHF 800 a month.

VersionWhat it includesPrice
Basic CRMWorkshop, mockups, database and access, testing, launch, and the records for your clients and contacts.CHF 7,300 to 9,500
Full CRMThe basic version, plus pipeline and tasks, quotes and invoices, email and calendar, dashboards, importing your data and one connection to another tool.CHF 15,600 to 20,300

The first figure covers the work as planned, the second leaves a 30% margin for what we find out in the workshop. The quote sets the price before we start. Most custom CRMs cost CHF 12,000 to 20,000.

Two examples over 6 months

Five people on Pipedrive Growth pay USD 720 over 6 months. Keep the subscription: at that level, a custom CRM doesn’t make sense.

Twenty people on HubSpot Sales Hub Professional pay USD 10,800 over 6 months, plus USD 1,500 for onboarding, and the subscription keeps running every month after that. At that point, a full CRM built for you, at CHF 15,600 to 20,300 once, is worth comparing.

Price isn’t the only factor. An off-the-shelf CRM gets better on its own, through its updates. Yours fits the way you sell exactly, but it only changes when you decide.

Often, the answer is somewhere in between

You keep an off-the-shelf CRM, and we connect it to your other tools: your website form, your email, your accounting. A simple automation costs CHF 800, an automation with AI CHF 2,000. The tools to do it are compared on our n8n, Make or Zapier page.

When another provider is a better fit

If you choose Salesforce or Odoo for the whole company, with dozens of users, a certified partner of that vendor will be better placed to set it up. And if a free CRM is enough for you, set it up yourself: you don’t need anyone.

Frequently asked questions

What is a CRM, in practice?

A shared client file that’s always up to date. Every contact, every conversation, every quote and every follow-up in one place. The whole team sees where each deal stands, and nothing gets lost when someone is away.

CRM or ERP: what’s the difference?

A CRM tracks your clients and your sales. An ERP runs the whole company: accounting, inventory, purchasing, payroll. Some software covers both, like Odoo, or bexio for a small business’s day-to-day admin.

Do I own a custom CRM?

Yes. The code and the data are yours, hosted on accounts in your name. You can have anyone you like develop it further.
